These Terms and Conditions govern your participation in courses, sessions, and workshops provided by Sensei Chelle's Self-Defence and Jiu-Jitsu. By booking or attending any of our services, you agree to be bound by these terms.
1. Definitions​

"We", "us", "our" refers to Sensei Chelle Self-Defence

"You", "your", "participant" refers to the person booking or attending our services

"Services" includes all courses, sessions, workshops, and training provided by us

"Standard courses" refers to our 6-week and 1-day self-defence courses

"Private courses" refers to individually booked training sessions
-
"Bespoke workshops" refers to customised training delivered to organisations
-
"Practice sessions" refers to our regular skills practice sessions
2. Booking and PaymenT

2.1 Standard Courses and Practice Sessions

Payment is required in full at the time of booking
-
Bookings are confirmed upon receipt of full payment
-
We accept payment by card, PayPal, bank transfer, Clearpay, and Klarna
​
2.2 Private Courses
-
A non-refundable deposit of 25% is required to secure your booking
-
Full payment must be received at least 7 days before the scheduled session
-
We reserve the right to cancel bookings if full payment is not received by the deadline
​
2.3 Bespoke Workshops
-
Payment terms are agreed individually and outlined in the workshop contract
-
Typical terms include a deposit upon booking and balance payment before the workshop date
​
2.4 Pricing
-
All prices are stated in British Pounds (£) and include VAT where applicable
-
Prices are subject to change but will not affect bookings already confirmed and paid
-
Group booking prices are based on the number of participants confirmed at time of booking
​
3. Cancellations and Refunds
​
Our cancellation and refund terms are detailed in our separate Cancellation and Refund Policy, which forms part of these Terms and Conditions. Please review this policy carefully before booking.

4. Health and Safety
​
4.1 Our Commitment to Health and Safety
​
Sensei Chelle Self Defence is committed to providing a safe and healthy training environment for all participants. We maintain a comprehensive Health and Safety Policy that sets out our approach to managing risks, preventing injuries, and responding to incidents.

4.2 Health Questionnaire & Participation Agreement
​
Before attending your first session, you must complete our Health Questionnaire and Participation Agreement. This form collects:

Medical conditions, disabilities, or injuries that may affect your participation

GP contact information

Consent for emergency medical treatment
For participants under 18: This form must be completed by a parent or guardian.

You will receive a link to this form in your booking confirmation email. You cannot attend your first session without completing this form.
​
4.3 Fitness to Participate
​
By booking and attending sessions, you confirm that:
​

You are physically and mentally fit to participate in self-defence training
-
You have disclosed all relevant medical conditions, injuries, or health concerns
-
You will inform instructors immediately if your health status changes
-
You will not participate if unwell, injured, or under the influence of alcohol or drugs
​
We reserve the right to refuse participation if we believe it would be unsafe for you or others.
​
4.4 Your Safety Responsibilities
​
During all sessions, you must:
​

Follow all safety instructions given by instructors
-
Wear appropriate clothing: Comfortable, fitted clothing with no zips, buttons, or restrictive items
-
Remove all jewelry, watches, and accessories before training
-
Tie back long hair
-
Bring a water bottle and stay hydrated
-
Stop immediately if you feel unwell, dizzy, in pain, or unable to continue
-
Report any injuries, hazards, or safety concerns to an instructor immediately
-
Respect other participants and training equipment

Failure to follow safety instructions may result in removal from the session without refund.
​
4.5 Instructor Qualifications
​
All our instructors are:
​

Appropriately qualified and experienced in self-defence and jiu-jitsu
-
Enhanced DBS checked
-
Safeguarding trained
-
First Aid trained (at least one instructor present at every session holds current First Aid certification)
​
Our Lead Instructor, Sensei Chelle, holds a 4th Dan Black Belt and has over 40 years of teaching experience.
​
4.6 Risk and Injury
​
Self-defence and jiu-jitsu training involves physical activity and contact. While we take all reasonable precautions to minimise risk, you acknowledge that:

There is an inherent risk of injury in martial arts training

Injuries can occur even when all safety measures are followed
-
You participate at your own risk
​
Common risks include: Bruising, muscle strains, sprains, minor cuts or scrapes, and in rare cases, more serious injuries.
We conduct thorough risk assessments for all activities and venues, maintain appropriate safety equipment, and ensure all instructors are trained in emergency response procedures.

4.7 Emergency Procedures
​
In the event of an injury or medical emergency:

Instructors are trained to provide first aid and will assess the situation

Emergency services (999) will be called if required

Your emergency contact will be notified
-
All incidents are documented and investigated
Sessions will be stopped if:

A participant requires urgent medical attention
-
An ambulance is called
-
Environmental conditions become unsafe

4.8 Incident and Near Miss Reporting
​
We take all injuries and safety concerns seriously. All incidents must be reported, including:

Any injury, no matter how minor

Near misses (incidents that could have caused injury but didn't)

Unsafe conditions or equipment failures
​

Reports can be anonymous if preferred. We operate a no-blame culture - reporting helps us prevent future incidents and improve safety for everyone.

4.9 Insurance
​
Sensei Chelle Self Defence maintains:

Public Liability Insurance covering claims for injury or property damage

Professional Indemnity Insurance
​
Insurance certificates are available upon request. We strongly recommend that all participants have their own personal accident or health insurance.
​
4.10 Venue Safety
​
All venues are risk-assessed before use and meet our minimum safety standards, including:

Adequate space (minimum 1.5 square meters per participant)
-
Clean, safe floor surface
-
Access to toilets and drinking water
-
Clear emergency exits
-
First aid equipment on site
​
Please note: Our primary venue in Woodford is located upstairs with no lift access. If you have mobility concerns, please contact us in advance to discuss alternative arrangements.

4.11 Equipment Safety
​
All training equipment is:

Owned and maintained by Sensei Chelle Self Defence

Inspected before each session

Regularly serviced and replaced as needed

Participants must not move, set up, or use equipment without instructor supervision.
​
4.12 Safeguarding and Child Protection
​
Health and safety is closely linked to safeguarding. For participants under 18, additional safety measures apply as set out in our Safeguarding Policy, including:

Appropriate supervision ratios (maximum 12 participants per instructor)

At least 2 instructors present for all sessions with minors

Parental consent and communication requirements

4.13 Accessibility and Inclusion

We are committed to making our training accessible to all women and girls. We make reasonable adjustments for participants with:

5. Participant Conduct and Behaviour

5.2 Code of Conduct

All participants must:

Treat instructors and other participants with respect and courtesy

Follow all instructions given by the instructor for safety reasons

Arrive on time and ready to participate
-
Wear appropriate clothing and remove jewelry that could cause injury
-
Maintain good personal hygiene
-
Not attend if under the influence of alcohol or drugs
-
Not use mobile phones during training sessions

5.3 Unacceptable Behaviour

We have zero tolerance for:

Aggressive, threatening, or abusive behaviour
-
Discrimination, harassment, or bullying of any kind
-
Deliberately unsafe or reckless behaviour
-
Inappropriate physical contact beyond training requirements

Disruption of training sessions

5.4 Removal from Course
​

We reserve the right to remove any participant whose behaviour violates this code of conduct
-
Removal will be without refund or compensation
-
In serious cases, we may report behaviour to relevant authorities
6. Minors (Under 18 Years Old)

6.1 Parental Consent
​

All participants under 18 must have a parent or legal guardian complete and sign a consent form
-
The consent form includes agreement to these Terms and Conditions and the health declaration
-
Parents/guardians are responsible for ensuring the information provided is accurate
​
6.2 Parental Attendance
​

Parents/guardians are welcome to observe sessions where space permits
-
Parents are not required to remain on-site but must be contactable in case of emergency
-
Parents observing must not disrupt the session or interfere with instruction
​
6.3 Safeguarding​

We are committed to safeguarding the welfare of all participants, especially minors

All instructors follow safeguarding best practices
-
Any safeguarding concerns will be taken seriously and reported to appropriate authorities

We maintain appropriate supervision ratios and safe training environments
​
7. Photography, Video, and Marketing

7.1 Use of Images and Video

We may take photographs and videos during training sessions for marketing and promotional purposes

Images may be used on our website, social media, promotional materials, and advertisements
-
By participating, you consent to being photographed/filmed unless you opt out

7.2 Opting Out
​

You may opt out of photography/video at any time by informing us in writing

We will make reasonable efforts to exclude you from group photos and videos

For minors, parents/guardians may opt out on their behalf

7.3 Participant Photography

Participants may not photograph or film sessions without prior written permission

This protects the privacy of all participants and our intellectual property
8. Course Materials and Intellectual Property

8.1 Ownership

All course content, materials, techniques, and teaching methods are our intellectual property

Course materials, if provided, are for your personal use only

You may not reproduce, distribute, or commercially exploit any materials without written permission

8.2 Use of Materials
​

Materials provided are intended to support your learning and skill retention

You may keep materials for personal reference
-
You may not use materials to teach or train others commercially
​
9. Course Delivery and Changes
​
9.1 Course Content
​

We reserve the right to modify course content, structure, or teaching methods as needed

Course descriptions are indicative and may vary based on group needs and circumstances
-
We aim to deliver high-quality training that meets the learning objectives outlined
​
9.2 Schedule Changes
​

We will make every effort to deliver courses as scheduled
-
Minor changes (venue within same area, time adjustments under 1 hour) may occur with notice
-
Significant changes will be communicated as soon as possible
-
You may request a refund if significant changes make attendance impossible for you
​
9.3 Course Cancellation by Us
​

We may cancel courses due to insufficient numbers, instructor illness, venue issues, or force majeure
-
You will be offered a full refund or transfer to another course
-
We are not liable for any consequential costs (travel, accommodation, etc.)
​
9.4 Minimum Participants
​

While we aim for a minimum of 4 participants per standard course, we reserve the right to run courses with fewer participants or cancel at our discretion
-
Participants will be notified at least 48 hours before the course start date if cancellation is necessary
​
10. Venue Requirements (Bespoke Workshops)
​
10.1 Client Responsibilities
​
For bespoke workshops at client venues, the client must provide:
​

A safe, suitable training space of adequate size for the number of participants
-
Clear, clean flooring free from hazards, obstacles, and trip risks
-
Adequate lighting and ventilation
-
Clear emergency exits and access to first aid facilities
-
Compliance with health and safety regulations
-
Appropriate insurance for the venue
​
10.2 Risk Assessment
​

We will conduct a risk assessment of the venue before commencing the workshop
-
We reserve the right to refuse to proceed if the venue is deemed unsafe
-
In such cases, the workshop will be rescheduled or refunded as per our Cancellation Policy
-
The client is responsible for venue-related hazards; we are responsible for training delivery safety

10.3 Venue Specifications

Minimum space requirements will be communicated during booking

Suitable flooring includes: sports hall, gym mats, carpeted areas, or clean indoor spaces

Outdoor venues may be acceptable depending on weather and surface conditions
​
11. Limitation of Liability

11.1 Assumption of Risk

Self-defence and martial arts training involves inherent physical risks

By participating, you acknowledge and accept these risks

You participate voluntarily and at your own risk

11.2 Our Liability

Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence

Nothing excludes or limits our liability for fraud or fraudulent misrepresentation
-
We are not liable for injuries resulting from your failure to disclose medical conditions or follow safety instructions

We are not liable for loss or damage to personal property brought to sessions
-
We are not liable for injuries or incidents occurring outside of our direct supervision (e.g., during breaks, travel to/from venue)

11.3 Maximum Liability

Our total liability for any claim arising from our services is limited to the amount you paid for that specific course or session

We are not liable for indirect, consequential, or economic losses
​
12. Data Protection and Privacy
