Cancellation and Refund Policy

At Sensei Chelle Self-Defence, we understand that circumstances can change. This policy outlines our cancellation and refund terms to ensure fairness for both our students and our business operations.
 

1. Your Right to Cancel (Consumer Contracts Regulations 2013)

​

If you book any course, session, or workshop online or by distance communication (phone, email), you have a legal right to cancel within 14 days of making your booking and receive a full refund.

​

14-Day Cooling-Off Period

​

You may cancel for any reason within 14 days of booking and receive a full refund if:

​

  • The course/session has not yet started, or

  • You have not agreed to waive your cooling-off period

​

Important: If your course or session is scheduled to start within the 14-day cooling-off period, we will ask for your express consent to begin before the 14 days have elapsed. By providing this consent, you acknowledge that you will lose your automatic right to cancel if the course has already started.

​

Example: If you book a course on 1st October that starts on 10th October, and you agree to this, you cannot claim the 14-day cooling-off period refund after the course has started on 10th October. However, you can still cancel before 10th October for a full refund, or after 10th October subject to the standard cancellation terms below.

​

How the 14-Day Right to Cancel Works with Our Standard Terms

​

  • Within 14 days of booking AND 7+ days before course start: Full refund under both consumer rights and our standard terms

  • Within 14 days of booking BUT less than 7 days before course start: Full refund under consumer rights (if course hasn't started)

  • After 14 days of booking: Our standard cancellation terms apply (see below)

​

To exercise your 14-day right to cancel: Contact us in writing via email at info.senseichelle@gmail.com stating that you wish to cancel your booking.
 

2. Standard Courses (6-Week and 1-Day Courses)

​

Course Price: £189.99
Payment: Required in advance at time of booking

​

Cancellation by Participant

​

7 days or more before course start date:

​

  • Full refund available

  • Refunds processed within 5-10 working days from receipt of cancellation request

  • Original payment method will be credited

  • Please allow additional time for your bank to process the refund

​

Less than 7 days before course start date:

​

  • No refund available

  • Participant may transfer their booking to another available course

  • Transfer must be used within 12 months of original booking date

  • First transfer is free; subsequent transfers incur a £15 administration fee

  • Transfers subject to availability

​

No-shows:

​

  • Participants who do not attend without prior notice will not receive a refund

  • For 6-week courses: participant may arrive early to the next scheduled session to catch up on missed content (subject to instructor availability)

  • For 1-day courses: participant may transfer to another available date (subject to availability and transfer terms above)

​

Cancellation by Sensei Chelle

​

If we need to cancel a course due to:

​

  • Instructor illness or emergency

  • Venue unavailability

  • Insufficient participant numbers

  • Unforeseen circumstances beyond our control

​

We will:

​

  • Notify all participants as soon as possible (minimum 48 hours notice where possible)

  • Offer to reschedule the course to an alternative date

  • Provide a full refund if rescheduling is not suitable for the participant

  • Refunds processed within 5-10 working days

​

Please note: While we aim to run courses with a minimum of 4 participants, we reserve the right to run courses with fewer participants or cancel at our discretion based on operational requirements.
 

3. Private Courses

​

Private Course Pricing:

​

  • 1 person: £500

  • 2 people: £300 each

  • 3 people: £250 each

  • 4 people: £225 each

  • 5–6 people: £210 each

  • 7–9 people: £195 each

  • 10+ people: £189 each

​

Payment: Required in advance at time of booking

​

Cancellation by Participant

​

7 days or more before scheduled session:

​

  • Full refund available, or

  • Free rescheduling to alternative date (subject to availability)

​

Less than 7 days before scheduled session:

​

  • No refund available

  • One free reschedule to alternative date (subject to availability)

  • Rescheduled session must take place within 12 months of original booking

  • Subsequent reschedules incur a £15 administration fee

​

No-shows:

​

  • No refund available

  • May reschedule once (subject to availability and £15 administration fee)

​

Cancellation by Sensei Chelle

​

We will:

​

  • Provide as much notice as possible

  • Offer to reschedule to a mutually convenient date

  • Provide full refund if rescheduling is not possible
     

4. Bespoke Workshops (Schools, Businesses, Community Groups)

​

Pricing: Varies depending on requirements, group size, location, and duration
Payment: Terms agreed in individual contracts

​

Cancellation by Client

​

14 days (2 weeks) or more before scheduled workshop:

​

  • Full refund available, or

  • Free rescheduling to alternative date (subject to availability)

​

7-13 days before scheduled workshop:

​

  • 50% refund available, or

  • Free rescheduling to alternative date (subject to availability)

​

Less than 7 days before scheduled workshop:

​

  • No refund available

  • May reschedule once (subject to availability and 10% rescheduling fee)

​

Rationale: Bespoke workshops require significant advance planning, potential travel arrangements, and we may decline other bookings to accommodate your date. Earlier notice allows us to minimise financial impact.

We will:

  • Provide as much notice as possible

  • Work with you to reschedule to a mutually convenient date

  • Provide full refund if rescheduling is not possible
     

5. Advanced Self Defence Club

Overview

 

The Advanced Self Defence Club offers flexible payment options for graduates of our standard self-defence courses. This section outlines cancellation and refund terms specific to club sessions.

Payment Options

​

1. Pay-As-You-Go (Weekly)

​

  • Price: £20 per session

  • Payment: Online via website or cash/card on the door

  • Commitment: None - attend when you want

​

2. Monthly Prepay

​

  • Price: £60 for 4 sessions (£15 per session)

  • Payment: Before the first session of the month (online or cash/card on the door)

  • 5-Session Months: In months with 5 weekly sessions, you will be charged an additional £15 for the 5th session (total £75 for that month)

​

Cancellation Terms

​

1. Pay-As-You-Go Sessions (Weekly)

​

  • No Cancellation Required

  • Simply don't attend if you can't make a session

  • No payment required for sessions you don't attend

  • No notice period needed

Courtesy Notice Appreciated

  • While not required, we appreciate a heads-up if you know you won't be attending (helps us plan session numbers)

​

2. Pre-paid Sessions (Monthly)

​

  • Cancel Anytime

  • You can stop attending at any time with no penalty

  • No notice period required

​

Unused Sessions

​

  • Unused sessions are automatically held as credit for future Advanced Club sessions

  • If you prefer a refund instead, contact us at info.senseichelle@gmail.com

  • We will process your request within 5 working days

​

Credit Expiry

​

  • Credits are valid for 12 months from the date of purchase

  • After 12 months, unused credits expire and cannot be refunded

  • We will send a reminder email 1 month before your credits expire

​

Missed Sessions

​

  • If you miss a session (no-show), that session counts as "used" from your monthly prepay

  • However, if you contact us before the session to let us know you can't attend, we will hold it as credit

  • Best practice: Let us know as soon as possible if you can't make a session

 

Refunds

​

1. Pay-As-You-Go Sessions (Weekly)

​

Pre-Paid Online Bookings

​

  • Full refund if you cancel 24+ hours before the session

  • No refund if you cancel less than 24 hours before the session

  • Refunds processed within 5-10 working days

​

Pay-on-the-Door

  • No refund applicable (payment only made if you attend)

​

2. Pre-paid Sessions (Monthly)

​

Full Month Refund

​

  • Full refund available if you cancel before attending any sessions in that month

  • Request must be made before the first session of the month

 

Partial Refund (Unused Sessions)

​

  • If you've attended some sessions and want to cancel, unused sessions can be:

    • Option 1 (Default): Held as credit for future sessions (valid 12 months)

    • Option 2: Refunded at £15 per unused session

  • Contact info.senseichelle@gmail.com to request a refund

​

Example:

​

  • You pay £60 for 4 sessions in January

  • You attend 2 sessions, then decide to stop

  • You have 2 unused sessions (worth £30)

  • Default: £30 held as credit (valid until January next year)

  • On request: £30 refunded to your original payment method

​

Refund Processing

​

  • Refunds processed within 5-10 working days to your original payment method

​

Instructor Cancellations

​

If we cancel a session, we will notify you as soon as possible (via email and/or text) if a session must be cancelled due to:

​

  • Instructor illness or emergency

  • Venue unavailability

  • Severe weather or safety concerns

  • Insufficient participant numbers

​

Your Options:

​

  1. Credit: Session held as credit for a future Advanced Club session (valid 12 months)

  2. Refund: Full refund for that session (£20 for pay-as-you-go, £15 for monthly prepay)

​

We will default to credit unless you request a refund.

​

5-Session Months

​

How It Works

​

  • Most months have 4 weekly sessions

  • Some months have 5 weekly sessions (depending on the calendar)

​

For Monthly Prepay Participants:

​

  • Your £60 covers the first 4 sessions

  • You will be charged £15 for the 5th session (total £75 for that month)

  • Payment for the 5th session is due before that session (online or on the door)

  • If you don't want to attend the 5th session, simply don't pay or attend—no penalty

​

For Pay-As-You-Go Participants:

​

  • No change—you pay £20 per session as normal, whether it's the 4th or 5th session of the month

​

Exceptional Circumstances

​

Illness, Injury, or Emergency

​

We understand that life happens. If you experience:

​

  • Serious illness or injury preventing attendance

  • Family emergency or bereavement

  • Other exceptional circumstances

​

Please contact us at info.senseichelle@gmail.com. We will consider:

​

  • Extending credit expiry beyond 12 months

  • Pausing your monthly prepay

  • Offering additional flexibility on a case-by-case basis

​

We handle all exceptional circumstances with compassion and fairness.

​

Important Notes

​

Credits Are Non-Transferable

​

  • Credits can only be used by the person who purchased them

  • Credits cannot be transferred to another person or used for other courses (standard courses, private bookings, etc.)

  • Credits are only valid for Advanced Self Defence Club sessions

​

No Refunds After Credit Expiry

​

  • Once credits expire (12 months after purchase), they cannot be refunded or reinstated

  • We will send reminder emails at 11 months and 1 month before expiry

​

Payment Method for Refunds

​

  • Refunds are issued to the original payment method

  • If paying cash, refunds will be issued via bank transfer (please provide bank details)

​

Refund Timeframes

​

  • Online payments (card/PayPal): 5-10 working days

  • Bank transfers: 3-5 working days

  • Cash refunds: Processed at next session or via bank transfer

​

How to Request a Refund or Credit

​

  • Your full name

  • Date(s) of session(s) you're cancelling or requesting refund for

  • Whether you want credit or refund

  • Reason for cancellation (optional, but helps us improve)

We will respond within 2 working days and process your request within 5 working days.

How to Cancel or Request a Transfer

​

To cancel or transfer your booking, please contact us:

​

​

Refund Processing Timeline

​

  • We will process all approved refunds within 5-10 working days of receiving your cancellation request

  • Refunds will be credited to the original payment method used for booking

  • Please allow additional time (typically 3-5 working days) for your bank or card provider to process the refund and for it to appear in your account

  • If the original payment method is no longer available, please contact us to arrange an alternative refund method

  • No processing fees or deductions will be made from approved refunds

Exceptional Circumstances

​

We understand that genuine emergencies occur. In cases of:

​

  • Serious illness or injury (medical documentation may be required)

  • Family bereavement

  • Other exceptional circumstances beyond your control

​

We will consider requests for refunds or transfers on a case-by-case basis at our discretion, even if they fall outside the standard cancellation windows outlined above. Please contact us to discuss your situation.

​

Course Changes by Sensei Chelle

​

We reserve the right to make minor changes to course schedules, venues, or content. In such cases:

​

  • Participants will be notified as soon as possible

  • If changes are significant, participants may request a full refund

  • Minor changes (e.g., venue change within same area, time adjustment of less than 1 hour) do not qualify for automatic refunds

​

Force Majeure

​

In the event of circumstances beyond our reasonable control (including but not limited to: natural disasters, government restrictions, pandemic-related closures, severe weather, or venue closure), we will:

​

  • Attempt to reschedule affected courses or sessions

  • Offer transfers to future dates

  • Provide refunds if rescheduling is not feasible within a reasonable timeframe

​

We will not be liable for any additional costs, losses, or expenses incurred by participants due to force majeure cancellations.

​

Participant Reduction in Private/Group Bookings

​

If the number of participants in a private or group booking decreases after booking is confirmed:

​

  • The per-person price may be adjusted to reflect the new group size

  • Additional payment may be required before the session takes place

  • Alternatively, the booking may be cancelled subject to the cancellation terms above

​

Behaviour and Conduct

​

We reserve the right to remove any participant from a course or session without refund if their behaviour:​​

​

  • Poses a safety risk to themselves or others

  • Is disruptive to other participants

  • Violates our code of conduct or terms and conditions

​

Transferability

​

  • Course bookings are transferable to another person with 48 hours notice

  • The new participant must complete all required registration forms and health questionnaires

  • No fee applies for transferring a booking to another person

​

Partial Refunds for Multi-Session Courses

​

For 6-week courses, if you need to withdraw after the course has started:

​

  • No refunds are available for sessions already completed

  • Remaining sessions may be transferred to a future course (subject to availability and transfer terms)

  • Requests will be considered on a case-by-case basis
